USAID Biodiversity (Jal Jangal) will conserve nature, enhance human well-being, and safeguard Nepal’s biodiversity to improve the health of ecosystems, fight environmental crime, and improve the ability of communities to prepare for and adapt to impacts caused by climate change and natural disasters.
The activity will achieve measurable conservation targets within the biodiversity-rich, terrestrial, and freshwater ecosystems in and around the Chitwan-Annapurna Landscape, Kailash Sacred Landscape, Terai Arc Landscape, and the proposed Karnali Conservation Landscape while increasing resilience to climate change and contributing to the inclusive and sustainable development of the Nepali people.
To accomplish this, USAID Biodiversity (Jal Jangal) will implement activities aligned with three mutually interrelated and reinforcing objectives: improve the health of ecosystems (Objective 1), strengthen environmental crime control and natural resource safeguards (Objective 2), and enhance the climate resilience of natural and human ecosystems (Objective 3).
1. Objectives of the assignment
The Front Office and Admin Assistant will oversee and manage the field office facilities for the USAID Biodiversity (Jal Jangal) project. S/he will also be instrumental in maintaining the office functions
2. Tasks & Responsibilities
- Provide excellent service experience to all visits received in the office.
- Deliver messages promptly to different areas.
- Answer all incoming and internal calls with cordiality and respect.
- Transfer Responsible for receiving all office visitors, answering the phone lines for each DAI program, taking and distributing messages, mail and documents to all staff members when received.
- Responsible for receiving and delivery of project documents and sensitive information keeping a record and logbook per project. Maintain and update filing system to track all incoming and outgoing letters and documents
- Assist project staff members as needed.
- Responsible for preparation of weekly pouch with documents to the regional offices for each project, as well as the reception of pouches received from regional offices and distributing documents to the staff on the appropriate project.
- Responsible for updating emergency contact information of staff members and update all contact list
- Contribute to the receiving all purchased goods and maintain inventory of expandable and non-expandable items as needed.
- Responsible for updating the staff directory.
- Monitor and keep records of guards, drivers and cleaning staff duties.
- Check and update office supplies, first aid kits, kitchen supplies, cleaning supplies as well as their management.
- Track vehicle repair and maintenance as well as update in the logbook
- Track maintenance/servicing of office premises and equipment.
- Assist in photocopy, printing and scanning documents.
- Other duties as assigned.
3. Qualifications
- Highly organized with an ability to multitask
- Excellent writing, speaking, and reading skills in English.
- Bachelor’s degree and 3 years of relevant experience or PCL/+2 and 11 Years of relevant work experience (For excluded group 2 Years’ experience with bachelor’s degree and 10 Years of experience with PCL/+ 2)
- Knowledge of local laws and USAID rules and regulations related to personnel management and compliance, preferred.
